The role involves managing telephone calls and visitors, maintaining the Director’s diary, preparing documents, organizing meetings, handling correspondence, arranging official travel, processing claims and supporting procurement and general office administration.

Duties and Responsibilities

  • Receive incoming telephone calls.
  • Direct calls to the appropriate officials.
  • Assist visitors and stakeholders professionally.
  • Provide general receptionist support to the Director.

Diary and Appointment Management

  • Record appointments and events in the Director’s diary.
  • Track meetings and important engagements.
  • Ensure the Director has relevant documents before meetings.

General Office Administration

  • Type documents for the Director and other staff.
  • Operate office equipment such as computers and photocopiers.
  • Provide clerical support to the Senior Manager.
  • Draft routine correspondence and reports.
  • File documents for the Director and the unit.
  • Maintain administrative records.
  • Administer leave registers and telephone accounts.
  • Receive, record and distribute incoming and outgoing documents.

Meeting and Event Coordination

  • Arrange meetings for the Director and unit staff.
  • Identify suitable meeting venues.
  • Invite relevant participants.
  • Organize refreshments when required.
  • Prepare meeting and event schedules.
  • Record basic meeting minutes when required.

Travel Arrangements and Claims

  • Liaise with travel agencies to arrange official travel.
  • Check travel arrangements after receiving the relevant documents.
  • Process travel and subsistence claims for the unit.
  • Process invoices relating to activities of the Director’s office.

Procurement and Office Support

  • Procure standard office items such as stationery.
  • Arrange refreshments when required.
  • Collect relevant documents for the Director before meetings.
  • Support the efficient operation of the Director’s office.

Policies and Procedures

The successful candidate will be expected to remain familiar with relevant public service and departmental policies, procedures and prescripts.

This includes:

  • Studying relevant departmental policies and procedures.
  • Understanding administrative procedures applicable to the office.
  • Keeping up to date with processes affecting the Senior Manager’s office.
  • Applying public service procedures correctly and consistently.
