Duties and Responsibilities
The successful candidate will provide administrative, receptionist, and secretarial support to the Director and staff within the relevant unit. Responsibilities will include:
- Receiving and directing telephone calls to the appropriate officials.
- Welcoming and assisting visitors and stakeholders professionally.
- Providing general reception services to the Director’s office.
- Managing and recording appointments and events in the Director’s diary.
- Monitoring meetings and important engagements.
- Ensuring relevant documents are available before meetings.
- Typing correspondence, documents, and reports.
- Operating office equipment such as computers and photocopiers.
- Providing clerical support to the Senior Manager.
- Drafting routine correspondence and administrative reports.
- Filing and maintaining official documents and records.
- Administering leave registers and telephone accounts.
- Receiving, recording, and distributing incoming and outgoing correspondence.
- Arranging meetings and identifying suitable venues.
- Inviting relevant participants to meetings and events.
- Organizing refreshments when required.
- Preparing meeting and event schedules.
- Recording basic meeting minutes when necessary.
- Making official travel arrangements in consultation with travel agencies.
- Verifying travel arrangements after receiving the relevant documentation.
- Processing travel and subsistence claims.
- Processing invoices associated with the Director’s office.
- Procuring standard office supplies and stationery.
- Collecting documents required by the Director before meetings.
- Supporting the smooth and efficient operation of the Director’s office.
- Keeping up to date with relevant departmental policies, procedures, and public service regulations.
